Steps When Writing a Report

Regardless of the type of report, or the structure of the report (see below), the basic steps are more or less the same:
  • Decide on the purpose (also called 'terms of reference').
  • Make sure you know exactly what's required.
  • Decide on the procedure you'll follow, i.e. plan your investigation or research and how you'll proceed to write the report. 
  • Decide on the structure of the report. 
  • Collect the facts and record/make notes on what you're found. (This will form the basis of your report.)
  • Draft the first part of the report.
  • Analyse your findings and draw conclusions.
  • Make recommendations. 
  • Revise and rewrite your draft report. 
  • Present your final report.

How To Structure a Report

Reports should have a clear, recognisable structure, or format, so that they are easy to understand. The parts of the report have headings, and sometimes subheadings. Reports also often include diagrams, tables and/or graphs.

All reports have a similar structure but some details may differ. How they differ usually depends on
  • the type of report, i.e. whether it's a research report, laboratory report, business report, investigative report, etc.
  • how formal the report has to be.
  • the length of the report.
